Who we are

Prism Nexus Ltd is a company registered in England and Wales, company number 17231761. We are the controller of the personal information described in this notice. Our registered office is 14 Conyers Walk, Gillingham, United Kingdom, ME8 9QF.

What we collect and why

Enquiries. If you contact us through the form, by email or by phone, we use your name, email address, phone number (optional), business name, the service you are interested in and anything you tell us about your project. We use this to reply to you and, if you ask, to prepare a quote or a free homepage preview. We use your details to reply because we have a legitimate interest in answering people who contact us about our services. If you are an individual and you ask us for a quote or a free homepage preview, we also use them to take steps at your request before a contract is made.

Clients. If you become a client, we also keep contact details, project details and payment records. Our legal basis is performing our contract with you and meeting our legal obligations, for example keeping accounting records.

Technical information. Our hosting provider may automatically log technical information such as your IP address, browser type and the pages requested, so the website is delivered securely and stays running. Our legal basis is our legitimate interest in running and securing the website.

Please avoid including sensitive personal information in an enquiry. You do not have to give us your details, but we cannot reply without an email address or phone number.

How the enquiry form works

When you send the enquiry form, your details go through our website to our email inbox, using Resend to deliver the message for us. We then keep it in our Google Workspace email. Resend may keep a delivery log for a limited period. If the form cannot send, it opens your email app instead, and nothing is sent until you send that message.

The form does not store your entries in browser storage or a website database. Interactive website and call-flow demonstrations are illustrative and do not place calls, record audio or collect customer records.

Calls we handle for clients. This notice covers this website and people who contact us. If we answer calls for a business client, that business is responsible for telling callers how their details are used, and we agree this with them in writing.

Cookies

This website does not currently use cookies or similar technologies for analytics, advertising or tracking. If that changes, we will update this notice and ask for your consent where the law requires it.

Who we share information with

We use Google Workspace for email, Resend to deliver website enquiries to us, and Vercel to host this website. These providers handle information on our behalf. Some of them may process information outside the UK, including in the United States. Where they do, they rely on safeguards the law allows, such as the UK–US data bridge or standard contract terms with the UK addendum. Email us if you would like more information about these safeguards. We may also share information with professional advisers such as accountants, or where we are legally required to. We will never sell your personal information.

How long we keep it

Enquiries that do not lead to work are kept for up to 12 months and then deleted. Client records are kept while we work together and for six years afterwards, for accounting and legal reasons.

Your rights

You can ask us for a copy of your personal information, to correct it, to delete it, to restrict how we use it, or to object to our use of it where we rely on legitimate interests. Where it applies, you can also ask for your information in a portable format. To use any of these rights, email will@prismnexus.co.uk. We normally respond within a few working days. If we need longer, we will tell you why.

Complaints

About our service. If you are unhappy with our service, email will@prismnexus.co.uk and we will reply within 5 working days.

About your information. If you are unhappy with how we have handled your information, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
